About the Role
Knight Frank is seeking a highly motivated and results-driven Operations Coordinator to join the Energy, Sustainability & Natural Resources Department (ESNR). This part-time role (3 days per week) is based at the Head Office in Baker Street, London. You will provide effective and efficient support services by coordinating daily operations, processes, and efficiencies within the department while working closely with the Head of the team.
Key responsibilities include:
- Providing proactive administrative support to the Department Head and Team Leads
- Managing complex diaries, inboxes, meetings, conference calls, and appointments
- Coordinating Board meetings, strategy days, and departmental events, including preparation of meeting packs
- Supporting the creation and delivery of presentations, reports, and client-facing documents
- Arranging UK and international travel with detailed itineraries and travel packs
- Preparing correspondence, minutes, reports, and other business documentation to a high standard
- Acting as a key point of contact and ambassador for the department
- Supporting business planning activities and departmental initiatives
- Coordinating invoicing processes, WIP reconciliation, debtor reporting, expenses, supplier invoices, subscriptions, and travel approvals
- Supporting referral tracking and general financial administration
- Organising team meetings, managing meeting logistics, room bookings, and diary coordination
- Supporting onboarding, inductions, leavers, and work experience placements
- Maintaining training records and ensuring mandatory training compliance
- Coordinating appraisal cycles, 1:1 reviews, and CPD records
- Managing absence records including annual leave and sickness
- Providing support across the wider Business Support network when required
- Maintaining departmental processes and identifying opportunities to improve efficiency
- Ensuring accurate client data and records are maintained across internal systems
- Supporting risk, compliance, and audit requirements and acting as an Information Security Champion
- Coordinating facilities-related activities including visitor access, office equipment, and business continuity planning
- Maintaining filing, document management, and record-keeping systems
- Coordinating marketing and business development activities for the team
- Supporting pitch production, capability statements, research documents, and client presentations
- Collaborating with Marketing and Business Development teams to deliver high-quality collateral
- Coordinating and supporting client, team, and firm-wide events from planning through delivery
- Assisting with social media and internal communication activities where required
Experience
At least 3 years' experience in operations, team coordination, executive assistant, or administrative roles.

Strong communication and stakeholder management skills.
Confident coordinating senior stakeholders and managing competing deadlines.
Proactive, collaborative, and comfortable working in a fast-paced environment.
Qualifications
Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
