About the Role
Thames Water is recruiting for a Personal Assistant to join a busy team and provide proactive, organised, and professional administrative support to two Directors. This role ensures the day-to-day operations for the Directors run efficiently and smoothly by managing diaries, coordinating meetings and logistics, handling correspondence, and supporting general administrative tasks. Acting as a reliable first point of contact and representative of the Directors, the PA plays an important part in ensuring timely communication and coordination across departments.
Key responsibilities include scheduling and coordinating meetings, appointments, and events across teams; managing diary conflicts and planning time effectively; supporting inbox management by flagging priorities and ensuring prompt communication; booking travel, accommodation, and transport; processing expenses in line with company policy; preparing agendas, coordinating meeting logistics, and taking accurate notes with follow-up on action items; welcoming visitors professionally and arranging hospitality and meeting room set-up; liaising with HR and candidates to schedule interviews and support onboarding and induction; organising team events, internal meetings, offsite activities, and social functions; handling sensitive information with discretion; providing holiday and sickness cover for other PAs; collaborating with EAs/PAs and the wider support team; and managing Camelford Office work areas including potential expansion of working space and provision of office supplies.

Experience
- Previous PA or Office Manager experience supporting multiple senior leaders or teams.
- Confident diary management, coordinating meetings both virtually and in person.
- Strong written and verbal communication skills, able to engage with all levels.
- Proficient in Microsoft Office Suite including Outlook, Word, PowerPoint, Excel, and Teams.

- Experience supporting multiple leaders and juggling competing priorities across diaries.
- Event management experience coordinating off-sites or internal senior events.
- Comfortable with minute taking and capturing informal meeting notes or summaries.
